Child Safety Letter


The 2003 Annual Subscriptions Acknowledgement Mailing included extra items to cover various points of administration. Every renewing family was sent an updated copy of the Club Rules, Child Protection material and a Participation Slip for each member to indicate in which activities they would like to be included. The Child Protection material consisted of a copy of the Club’s Policy, an explanatory Letter to Parents and Carers and a Self Declaration Form for each adult likely to be actively involved in Club activities or Supervision.

Letter to Parents/Carers

As we are sure you are well aware issues of Child Protection have become a central part of all activities for children and young people, not just within the school system but also throughout clubs and societies.

The Lawn Tennis Association recognising this has produced guidelines for clubs and this letter is in compliance with this guidance:

“All tennis clubs have volunteers, coaches and paid officials who assist with the overall running of the club. Whilst it is vital to keep the issues of Child Protection in proportion, the LTA would like every club to adopt some basic procedures which will help safeguard all concerned.”

The Lawn Tennis Association has guided us to take appropriate actions, which include:

a. A Child Protection Policy

b. Procedures to ensure that we promote and monitor this policy (including named adults with responsibility for Child Protection issues).

c. Self-declaration forms for all adults who may be coaches, officials or supervising children and young people.

The Summerway club is specifically for children and young people and is only able to operate through the voluntary support of parents, coaches and officials (none are employed). Agreeing with the LTA guidance and acknowledging that the club operates a system of adult supervisors we have decided to introduce self-declaration forms for all adults intending to carry out coaching, assisting, officiating, and supervisor duties.
